Position Summary:
The Financial Aid Senior Associate at Charter Oak State College is responsible for conducting the technical and transactional aspects of the financial aid process. This position focuses on supporting our students through the financial aid process with excellent customer service and behind the scenes processing. Ensuring student financial aid applications are processed within the College's systems while maintaining compliance with federal and state regulations is critical to the overall success of the student, the department, and the College.
Supervisory and Other Relationships:
This position does not have nor supervise any direct reports. The position will work closely counseling students through email and over the phone, team with other financial aid staff along with other college departments to ensure accurate and timely processing of student financial aid.
Position Responsibilities:
The following examples of duties illustrate the general range of tasks assigned to the position but are not intended to define the limits of required duties. Other essential duties may be assigned consistent with the general scope of the position:
- Ensure student telephone and email inquiries related to financial aid are responded to and resolved timely.
- Process and verify financial aid applications (FAFSA) and supporting documents, ensuring accuracy and compliance with federal, state, and institutional guidelines.
- Enter and update student financial aid data in the financial aid system, ensuring records are complete and accurate.
- Package and disburse financial aid awards in compliance with institutional policies and government regulations.
- Conduct routine reviews of student eligibility, including maintaining compliance with Satisfactory Academic Progress (SAP) and other requirements.
- Assist in the reconciliation of financial aid accounts with the Bursar's Office to ensure proper disbursement and allocation of funds.
- Review and resolve issues related to financial aid discrepancies, overpayments, and account adjustments.
- Work with internal college departments, such as Admissions, Advising, Bursar and the Registrar, to coordinate financial aid processing and ensure data accuracy.
- Assist with annual financial aid audits, including gathering necessary documentation and preparing reports for compliance.
- Stay informed of changes to financial aid regulations, policies, and procedures to maintain compliance.
- Utilize student information systems and financial aid processing tools to improve efficiency and accuracy in financial aid operations.
Minimum Qualifications:
Incumbents must possess proven ability to effectively work with a diverse set of faculty, staff, and students. They are expected to have excellent oral and written communication skills along with strong information technology literacy skills. Incumbents are required to have demonstrated advanced knowledge and abilities in the following:
- Bachelors' degree from an accredited institution.
- Minimum two (2) years of experience in financial aid processing or a related administrative role requiring knowledge of federal and state financial aid regulations, including Title IV.
Preferred Qualifications:
Preferred candidates of the position will additionally possess the following:
- Experience with PowerFAIDS financial aid information system.
- Experience in working with the Jenzabar student information system.
Work Environment:
The incumbent typically performs work in the offices of the College's headquarters located at 185 Main Street, New Britain, Connecticut. The work does not, normally, involve any significant physical effort. The incumbent may travel to public sites to make presentations as well as travel to national or regional meetings and conferences.
Salary Range:
The salary range for this position is $71,159 - $96,567 and while experience and qualifications are considered, candidates will start at the minimum of the salary range. This position also comes with excellent State of CT medical insurance, retirement, and related fringe benefits. The salary will be based on the selected candidate's qualifications such as education and job-related experience, and internal equity.

Selection Procedure:
