Job Description
The primary purpose of the Financial Aid Advisor is to ensure the accurate, efficient, and timely processing and awarding of Federal financial aid in strict compliance with federal, state, and institutional regulations, policies, and procedures. The position plays a critical role in maintaining the integrity of the financial aid process and ensuring student eligibility is accurately determined and maintained.


Responsibilities
Federal Verification Process Management

Review and analyze all required documents for the federal verification process using CampusLogic software, ensuring accuracy and completeness. Submit necessary corrections to the U.S. Department of Education when discrepancies are identified. Regularly monitor and review various institutional and federal reports to detect conflicting information and proactively request appropriate documentation to resolve inconsistencies. Maintain clear and timely communication with students regarding any additional documentation needed to complete the verification process or to resolve discrepancies found on the FAFSA.

This role also requires close monitoring and resolution of C flags (Comment Codes), which may indicate potential issues affecting a student's federal financial aid eligibility. The employee will regularly review and act on various federal reports including, but not limited to, the Pell Lifetime Eligibility Used (LEU) report, the Multiple Reporting Records (MRR) report, and the Potential Overpayment Project (POP) report. These reviews help ensure accurate awarding and prevent overpayments or disbursement errors. The employee must also communicate and coordinate with other institutions when discrepancies are found, ensuring inter-institutional compliance.

Document Processing and Records Management

The position is also responsible for processing and managing incoming documents submitted through various channels (online, fax, or paper), ensuring all documents are correctly indexed and stored in the institutional imaging system (Banner Document Manager). This includes managing document flow, maintaining accurate records, and ensuring secure and timely processing.

Oversee the intake and processing of documents submitted through online platforms, paper, fax, email, CampusLogic, and Dynamic Forms. Perform quality control reviews to ensure accuracy, completeness, and compliance with institutional and federal guidelines. Evaluate the acceptability of submitted documentation, make determinations based on regulatory requirements, and communicate with students when additional or corrected documentation is needed. These tasks may be performed independently or with the support of student workers, as appropriate.

Transfer Monitoring and Conflict Resolution

This position is responsible for the full oversight and management of the transfer monitoring process, which includes reviewing transfer student records to verify aid eligibility and ensure that students are not receiving federal aid at multiple institutions concurrently. The incumbent will also be responsible for identifying, analyzing, and resolving conflicting information reported on the Free Application for Federal Student Aid (FAFSA), utilizing a variety of data reports and software tools to maintain compliance and prevent awarding errors.

Student and Parent Communication and Outreach

Finally, this position supports various outgoing communications with students, including email, phone, and printed mail outreach. Effective communication and follow-through are essential, as this position ensures that students receive timely updates about their verification status, required documentation, and next steps in the aid process.

Provide counseling to students and parents regarding their financial aid status, including guidance on eligibility, required documentation, and next steps in the aid process. Support front-line operations by assisting with phone inquiries during peak periods and meeting with walk-in students or those referred by the Mocs One Center, as needed. Serve as the initial point of contact for customer service and Mocs One Center inquiries specifically related to the verification process. Additionally, act as the first point of contact for students and parents seeking information or assistance regarding professional judgment requests.

Community Engagement and Additional Duties

Provide on- and off-campus presentations to high schools, civic clubs, and other community organizations concerning financial aid opportunities and processes. Assist as needed with other processing functions as needed.

  • Must have the ability to communicate effectively with students, staff, and faculty as needed in a group setting or individual basis

Qualifications
Minimum: Requires a high school diploma or GED and four years of relevant experience, or an equivalent combination of training and experience.

Preferred: An advanced degree is preferred.
