Job Description:
Madison College's Financial Aid Department, within Student Financial Support Services, is excited to announce an opportunity for a Senior Financial Wellness & Support Coordinator to join their team.
The Senior Financial Wellness & Support Coordinator leads the college's financial literacy initiatives, oversees the Truax Payment Center, and administers the Emergency Funding program at Madison College. This role connects students with financial opportunities and support, coordinates the Wolfie's Wallet program, organizes financial literacy and FAFSA workshops, and conducts outreach campaigns to inform students with unpaid balances about available financial options to enhance retention and persistence.
The Senior Financial Wellness & Support Coordinator represents the college by building and maintaining positive relationships with internal and external partners such as Ascendium, Student Financials, the Madison College Foundation, as well as others.
The position reports to the Director of Student Financial Support Services.
This is a full-time position Monday through Friday, 8:00am - 4:30pm including occasional nights and weekends. This role offers the flexibility to perform some work remotely, with the expectation of in- office work three (3) days a week, subject to change according to Madison College policy. Additionally, this position may require in-person work Monday - Friday as needed.

Essential Duties:
Program Oversight & Coordination
- Ensure the effective delivery, implementation, and assessment of the Wolfie's Wallet Financial Literacy program across the district by leading the design and execution of objectives outlined in the Financial Wellness three-year plan.
- Develop, coordinate, and provide training resources for faculty, staff, and students on financial literacy tools, resources, and district-wide activities.
- Collaborate with third-party partners to foster positive relationships on behalf of Madison College, enhancing the current and future financial literacy programs and tools.
- Plan and coordinate the district-wide activities for Financial Literacy Week, engaging students in financial education information and tools.
- Review, manage, and lead the successful delivery of emergency funding support to students, ensuring timely assistance.
- Coordinate and schedule FAFSA completion workshops.
- Streamline and maintain emergency funding processes by validating language in online and printed materials, monitoring the application cycle, and coordinating communication plans to enhance efficiency and effectiveness.
- Collaborate with Student Financials to ensure compliance with college and WTCS policies regarding the collection of student payments.
Outreach & Support
- Advise non-FAFSA degree-seeking students on funding options and requirements to improve application completion rates and minimize financial impacts.
- Address short-term financial needs by providing information on internal and external emergency funding resources, along with application procedures and processes.
- Lead outreach campaigns to assist students with outstanding balances, offering guidance on resolution options.
Compliance and Reporting
- Adhere to guidelines established by leadership in alignment with strategic directives and reporting requirements.
- Communicate promptly and effectively with leadership and students regarding decisions and outcomes related to emergency funding.
- Collaborate with Student Financials to ensure compliance with college and WTCS policies regarding the collection of student payments.
- Administer the College Cost Meter (Wisconsin Act 284) financial literacy requirement process each semester, ensuring compliance and effective implementation.
- Ensure accurate tracking of students through the assignment of system indicators and collaborates with the Director to complete all reports on time.
- Act as an equitable steward of financial responsibilities for the emergency funding program.
Leadership and Administration:
- Ensure proper staffing levels in student payments and financial literacy programming by developing schedules, providing training, managing the hiring process, and serving as the primary contact for issue resolution.
- Communicates promptly and effectively with the Director of Student Financial Support Services on operational and disciplinary matters.
Partnership:

Knowledge, Skills & Abilities:
- Skill in communicating effectively and professionally, both orally and in writing.
- Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
- Knowledge and application of financial aid regulations, procedures, methods, and terminology on a federal and state level.
- Skill in establishing and maintaining effective working relationships.
- Ability to respond promptly and thoroughly to requests from students, staff, faculty, administrators, and community members.
- Working knowledge of college databases and websites.
- Knowledge of college processes and procedures in admissions, financial aid, registration, and records, as well as curriculum offerings, program and degree requirements, certifications, and other pertinent information to deliver program content-based advising.
Minimum Requirements:
- Associate degree (Preferred emphasis Human Services, Social Work or related field) or equivalent working experience *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
- Three (3) years of experience in a financial education, customer service, or higher education related field.
